O&M manuals for fit-out and refurbishment projects

Hands typing on a laptop beside construction drawings

An operation and maintenance (O&M) manual is the handover pack that tells your client's facilities team how to run, clean and maintain everything you installed. I write O&M manuals for main contractors, fit-out contractors and project managers on UK commercial fit-out and refurbishment projects, so your team can close out the job instead of chasing data sheets.

What goes in your O&M manual

Every manual is built around your contract preliminaries and your client's template, if they have one. A typical fit-out manual includes:

  • Project information: a description of the works, a contract directory and a document register
  • Statutory approvals, such as the building control completion certificate
  • A supplier and manufacturer directory for every trade package
  • Product data sheets for what was actually installed, not just what was specified
  • Operating, cleaning and maintenance instructions
  • Recommended spares, and guarantees and warranties with their start dates
  • Test and commissioning certificates
  • As-built drawings showing what changed on site
  • Health & Safety File and Regulation 38 fire safety information, where your job needs them

How it works

  • You send the specification, drawings and supplier information.
  • I compile the manual and issue a first draft.
  • You return your compiled comments and I issue an amended draft.
  • I issue the final version as an electronic PDF, print ready.

Information you supply needs 5 working days to be included in the manual. I keep working on the manual until you're happy with it, and once it's accepted its format becomes your template for every job after.

Why hand your O&M manuals over

The manual needs the most input in the last few weeks of a job, which is exactly when your site team is busiest and your subcontractors have moved on. Handing it over keeps your project manager on snagging and close-out, and keeps the manual from being the thing that holds up practical completion.

I spent my career as a senior site manager, so I'm used to working from a specification and a set of drawings, and I know which gaps get a manual sent back. Documents are checked for ISO 9001 compliance before they're issued.

O&M manual pricing

O&M manuals start from £600 for a £250k project. The price depends on the size of the job and the number of trade packages, so request a call and I'll quote for yours.

O&M manual FAQs

What is an O&M manual?

O&M stands for operation and maintenance. The manual explains how the finished works are operated, inspected and maintained, and it's what the client's facilities team works from after handover.

Is an O&M manual a legal requirement?

The manual itself is usually a contract requirement rather than a legal one. The Building Regulations do require enough information to be handed over for fixed building services to be run efficiently, and the O&M manual is the usual way to provide it.

Can you follow our client's O&M manual template?

Yes. If the contract preliminaries set out a template, file structure or naming convention, the manual follows it. If they don't, you get a clear format you can reuse on future jobs.

How long does an O&M manual take?

It depends on the size of the job and how complete the information is. Information you send needs 5 working days to be included, and each manual goes through one draft, one amended draft with your comments, and a final version.

What format is the O&M manual delivered in?

Electronic PDF, print ready.
